Managing Emails and Templates Inside Automations
In Sendigram EMS, every automation can include one or more email actions — messages sent automatically to your contacts based on triggers, timing, and rules.
This article explains how to manage those emails and templates within automations, including how to edit, replace, reuse, or synchronize changes across multiple workflows.
Accessing Email Settings
To manage an email inside an automation:
- Open your workflow in the Automation Builder.
- Click on the Send Email action block.
- The Settings panel opens on the right side, showing all configuration tabs:
- UTM Tags
- Sender Settings
From here, you can edit the email's content, tracking, and sender information.
Working with Email Templates
1. Selecting a Template
When you add a Send Email action, the system prompts you to choose a template. You can:
- Select an existing template from your library.
- Upload an HTML file (up to 10MB).
- Create a new template directly using the built-in Email Builder.
2. Editing Template Content
If your template was created in the Email Builder, click the ✏️ Edit icon to open the full editor. You can modify:
- Email subject and preheader
- Text, buttons, and images
- Links and personalization fields
- Layout and style
When done, click Save. The system will automatically prompt you to apply the updated content across all related emails if the same template is used elsewhere.
3. Replacing a Template
To replace an existing email with a different template:
- Open the Email tab.
- Click Select Template.
- Choose a new one from your library or upload an HTML version.
- Confirm replacement — the new design will immediately appear in the workflow.
This does not delete your old template; it remains available in the library.
4. Synchronizing Template Changes
If the same template is used in multiple steps or automations, Sendigram detects this automatically. When you update one version, a dialog appears:
"You have changed the content of this email for this automation. Would you like to apply these changes to every step where this email template is used?"
You can then choose:
- Apply changes — update all instances of this email across automations.
- Save without changes — apply updates only to the current step.
Configuring Email Details
Each Send Email action contains several tabs to fine-tune delivery and analytics.
Email Tab
- Subject — required; up to 150 characters.
- Preheader — optional; displayed after the subject line in inbox previews.
- Template Selection — choose, upload, or edit your design.
UTM Tags Tab
Add campaign-tracking parameters for analytics tools like Google Analytics.
Fields include:
- utm_source – default: sendigram
- utm_medium – default: email_automation
- utm_campaign – auto-generated from automation and email names
- utm_term and utm_content – optional custom tags
Click Generate to automatically fill in UTM parameters, or adjust them manually as needed.
Sender Settings Tab
Define who the email is sent from:
- Sender email address – must be verified in domain settings.
- Sender name – displayed in recipients' inboxes.
- Reply-to email – optional.
- IP address – select shared or dedicated IP.
If your IP or domain is inactive or blacklisted, the Builder will show an error banner with guidance on how to resolve it.
Managing Email Dependencies
Deleted or Inactive Emails
If an email used in an automation is deleted from your account:
- The system marks the step with a red warning symbol.
- A tooltip appears: "This email no longer exists or has been deleted."
- To fix it, open the block and select a replacement template.
If you try to launch an automation containing deleted or inactive emails, Sendigram prevents activation and displays an alert specifying which blocks are affected.
Email Updates from Other Campaigns
If a shared template is updated in another automation, you'll see a notification when opening the Builder:
"An updated version of this email is available. Do you want to apply the latest changes?"
You can choose to Update or Ignore the changes for this automation.
Invalid or Expired Domains
If the sender domain or IP associated with your automation expires or is blacklisted:
- The affected email actions are flagged with a warning.
- You'll be prompted to select a new verified domain before launching.
- Clicking the warning opens Domain Settings directly for quick resolution.
Reviewing Email Performance
Once your automation is running:
- Hover over any Send Email block to view its performance summary:
- Emails sent
- Delivered
- Open rate
- Click rate
- Bounce rate
- Click the block to open detailed Statistics for that specific message.
